Terms and Conditions

Terms and Conditions

The following Terms and Conditions apply to all bookings and may only be varied by Karen's Wedding Cars (hereafter referred to as the Company) in writing. Bookings are accepted only on condition that the person making the booking (hereafter referred to as the Hirer) understands and accepts these Terms and Conditions and that payment of the deposit signifies such full and unconditional acceptance of these terms by the Hirer. 


1. Viewing and Booking 

(a) Viewing of our cars is encouraged and is strictly by appointment. 

(b) Should you wish to book one or more of our cars, a quotation will be provided. Once we have received your deposit we will confirm your booking in writing and send you a receipt. The car(s) concerned will then be held for you on your chosen date. The booking is not considered 'confirmed' until the deposit of £50.00 per vehicle has been received. 

(c) All deposits are non-refundable and are specific to individual vehicles (i.e. If you change from two vehicles to one, the £50.00 deposit for the cancelled vehicle is non-refundable and is not transferable to the remaining vehicle). 

(d) Any changes or additions to passenger numbers or journeys not agreed at the time of booking may incur additional charges and are accepted at the sole discretion of the Chauffeur on the day, unless previously agreed by the Company. 

(e) It is the sole responsibility of the Hirer to ensure the Company is made aware of any changes with regard to your contact details including, but not limited to; postal address, contact telephone numbers and email addresses. 


2. Payment Terms 

(a) The outstanding balance is due four weeks prior to the hire date. In the event of non payment we will consider the booking to be cancelled. 

(b) For bookings made within four weeks of the hire date full payment will be required at the time of booking.

3. Cancellation 

(a) In the event of cancellation by the Hirer at any time prior to the agreed hire date, 100% of the monies already paid to the Company will be forfeited. 

(b) In the rare event of a cancellation by The Company, all monies paid will be refunded to the Hirer. No further compensation will be made or paid and no liability will be accepted by the Company for any consequential loss or inconvenience to the Hirer. 


4. Vehicles 

(a) While every effort is made to maintain the serviceability of the vehicles, no responsibility can be accepted for mechanical, electrical or material breakdown, howsoever caused. In this unlikely event, every effort will be made for the immediate repair of the vehicle so that the journey can continue, or The Hirer will be transferred to another vehicle/vehicles. Any reasonable extra cost incurred will be borne by The Company. Whilst we maintain all our vehicles to the highest possible standards the Company will not be held liable for any unforeseen circumstances out-with our control.  

(b) The Company reserves the right at any time to change, replace or renew the vehicle booked or advertised. The replacement vehicle would be of similar standard as originally booked and will be duly notified to The Hirer. 

(c) in the event that the Company supplies a replacement vehicle due to circumstances beyond our control, no further compensation will be made or paid and no liability will be accepted by The Company for any consequential inconvenience to the Hirer. 

(d) Should a situation arise after commencement of the hire, we will do everything we can to get all booked passengers to the required destination on time. No further compensation will be made or paid and no liability will be accepted by the Company for any consequential loss, inconvenience or disappointment. 


5. Safety and Comfort 

(a) Our cars are groomed thoroughly prior to hire, however, no liability will be accepted for

clothing stained or marked by road grime, oil or grease - however unlikely this may be - from any part of the vehicle.  


6. Delays 

(a) We are not responsible for Acts of God, traffic delays or delays caused by our clients. 

(b) No responsibility will be accepted for restrictions relating to vehicle access at any location. 


7. Driving 

(a) The Chauffeur will use his/her judgement to drive at reasonable speeds appropriate to the prevailing road, traffic and weather conditions and will not exceed the posted speed limit under any circumstances. 

(b) The vehicles in our fleet are insured only for our chauffeurs. No other person may drive the vehicles under any circumstances. 

(c) The chauffeur has the last word on route and timings undertaken, in accordance with road, traffic and weather conditions. If you request an alternate route during the journey and this subsequently leads to late arrival at your destination, we will not be held responsible. 


8. Behaviour

(a) The Hirer will be held responsible for any and all damage to vehicles and/or equipment if caused by them or any of their guests.

(b) Smoking, eating and drug taking is prohibited in any of our vehicles.

(c) Drinking in our vehicles is permitted at the sole discretion of the Chauffeur.

(d) The Hirer will be held responsible for the conduct of any and all passengers in the vehicles at all times.

(e) We reserve the right to immediately terminate any or all services due to unruly and/or abusive passengers, or anybody who in our opinion is unfit to travel.

(f) The Hirer accepts responsibility for the conduct of any passengers.

(g) It is the Hirers responsibility to insure his/her own personal effects and those of any guests. The Company accepts no liability for the loss or damage to personal effects of any passengers.
